eBay Listing Optimisation: A Practical Checklist

Work through this on your ten worst-performing listings. Most stores see the difference within a fortnight.

eBay listings fail quietly. There is no error message telling you the title is missing the words buyers actually search. This is the checklist used on the two stores documented on this site — MEI Trade UK and NextGenEStore.

Titles: use all 80 characters

  • Front-load the important words. Brand, model, key attribute, then secondary detail.
  • Include the model number. On electronics and parts this is how most buyers search.
  • Add the words buyers add. Size, colour, capacity, year, compatibility.
  • No punctuation clutter. Asterisks, exclamation marks and “L@@K” waste characters and look dated.
  • No keyword stuffing. Listing unrelated brands breaches policy and can get the listing pulled.

Test: would a buyer type this string? If not, rewrite it.

Item specifics — the most-skipped, highest-impact field

Item specifics feed eBay’s filters. A buyer narrowing by size, colour or compatibility never sees listings that left those blank, regardless of how good the listing is otherwise.

Fill in every field eBay offers, including the optional ones. Where eBay marks a specific as recommended, it is telling you buyers filter on it.

Photos

  • Use as many slots as the category allows — more photos correlate with higher conversion.
  • Plain white or light background for the main image.
  • Photograph every angle, plus serial or model plates where relevant.
  • Photograph damage explicitly. On eBay this is also your evidence if a buyer later claims the item was not as described.

Description

Answer the questions that otherwise arrive as messages: exact measurements, what is included, condition specifics, compatibility.

Keep it plain. Heavy HTML templates, banners and giant fonts hurt on mobile, where most eBay traffic now sits. A clear block of text and a short bulleted spec list outperforms a designed template.

Price and listing format

Check completed listings — not active ones — for what comparable items actually sold for. Then decide format deliberately: auctions suit genuinely scarce or hard-to-value items; Buy It Now suits everything else and is what most stores should default to.

Enable Best Offer if you are willing to negotiate, and set an auto-decline floor so you are not manually rejecting lowballs.

Postage and returns

Two settings do disproportionate work here:

  • A realistic dispatch time. Set what you can hit on your worst week. Late dispatch is the fastest route to losing Top-Rated Seller status.
  • A clear returns policy. Longer, more generous returns measurably increase conversion, and eBay favours them in placement. The extra returns cost less than the lost sales.

What actually affects Best Match

Beyond relevance, eBay’s placement is influenced by your seller performance, dispatch times, returns policy, and how the listing converts once shown. That is why operational discipline and listing quality are not separate problems — poor performance suppresses good listings.

If working through this across a whole catalogue is not realistic alongside running the business, that is what store management covers.
